1. Eligibility
You must be at least 16 years of age to use MeetingSync AI. By using this service, you represent that you are at least 16 years old and have the legal authority to enter into these Terms.
If you are using MeetingSync AI on behalf of an organization, you represent that you have the authority to bind that organization to these Terms, and the term “you” shall refer to that organization.
2. Service Description
MeetingSync AI provides real-time multilingual voice translation for Zoom meetings and webinars. The service captures audio from meeting participants (with their consent), performs speech-to-text recognition, translates the text into selected target languages, and delivers translated text and optional text-to-speech audio to participants in real-time.
The service supports 100+ languages and is designed to operate with less than 2 seconds of latency. Feature availability varies by subscription plan. We reserve the right to add, modify, or remove features with reasonable notice.
3. Zoom Platform Terms
MeetingSync AI is distributed through the Zoom Marketplace and operates within the Zoom platform. Your use of MeetingSync AI is also subject to Zoom's Terms of Service and Zoom's Marketplace Terms of Use.
In the event of a conflict between these Terms and Zoom's terms, Zoom's terms shall prevail with respect to your use of the Zoom platform. C2HL is an independent entity and is not affiliated with Zoom Video Communications, Inc.
4. Acceptable Use
You agree to use MeetingSync AI only for lawful purposes and in accordance with these Terms. You agree not to:
- Use the service for illegal activities or to facilitate illegal conduct
- Transmit harmful, offensive, defamatory, or harassing content through the service
- Circumvent security measures, access controls, or rate limits
- Reverse engineer, decompile, or attempt to extract source code from the service
- Use the service to develop a competing product without prior written consent
- Attempt to access accounts or data belonging to other users
5. User Responsibilities
As a user of MeetingSync AI, you are responsible for:
- Participant consent — If you are the meeting host, you must inform all participants that real-time translation is active and that audio is being processed by a third-party service. You are responsible for obtaining any required consent from participants before enabling MeetingSync AI. Many jurisdictions require all-party consent for audio processing.
- Account security — You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Notify us immediately of any unauthorized access at legal@meetingsync.ai.
- Legal compliance — You must comply with all applicable laws regarding audio recording and processing in your jurisdiction. C2HL is not liable for your failure to comply with local laws.
6. Billing & Payments
MeetingSync AI offers both free and paid subscription plans. Paid plans include usage-based billing through a wallet system (HourPass) and flat-rate event passes (EventPass) for webinars. All prices are displayed in the application before purchase. Usage is metered per minute of active translation. Your wallet balance is deducted in real-time during active sessions.
| Plan Type | Billing Model | Description |
|---|---|---|
| Meeting Free | Free | Limited translation minutes per month |
| Meeting Starter / Pro | HourPass (wallet) | Pre-purchased minutes, deducted per use |
| Webinar Starter / Pro | HourPass (wallet) | Pre-purchased minutes for webinar sessions |
| EventPass (6 tiers) | Flat rate | Single-event flat-rate pass ($99–$1,199) |
Refunds may be requested within 7 days of purchase for unused wallet credits. EventPass purchases are non-refundable once the associated event has started. To cancel your subscription, you may do so at any time through the application settings. Cancellation takes effect at the end of your current billing period.
7. Free Tier Limitations
The Free plan provides access to core MeetingSync AI features with the following limitations:
- Translation minutes — The Free plan includes a limited number of translation minutes per month. Once the monthly limit is reached, translation will pause until the next billing cycle or until you upgrade to a paid plan.
- Language pairs — Free plan users have access to a core set of language pairs. Access to all 100+ languages requires a paid subscription.
- Concurrent participants — The number of concurrent translation recipients is limited on the Free plan. Exceeding the participant limit will result in some participants not receiving translations.
- Premium features — The following features are not available on the Free plan and require a paid subscription: AI-powered glossary management, Q&A translation, Meeting AI insights and summaries, and priority processing.
Free plan limitations are subject to change. We will provide reasonable notice of any changes that reduce the benefits of the Free plan.
8. Intellectual Property
The MeetingSync AI service, including its software, algorithms, user interface, and documentation, is the intellectual property of C2HL and is protected by applicable copyright, trademark, and other intellectual property laws.
Translations generated by the service are considered user content — you retain ownership of your translated output. You grant C2HL a limited, non-exclusive license to process your content solely as necessary to provide the translation service.
You may not reverse engineer, decompile, or create derivative works based on the MeetingSync AI service without prior written consent from C2HL.
9. Third-Party Services
MeetingSync AI depends on the following third-party services to deliver its functionality:
- Zoom SDK — The service operates within the Zoom platform and is subject to Zoom's availability, API changes, and platform policies.
- Microsoft Azure — Cloud infrastructure, speech-to-text (Azure Cognitive Services), and data storage.
- Google Cloud — Text translation services.
- OpenAI — AI-powered translation and glossary processing.
- DeepL — Text translation services.
C2HL is not liable for interruptions, changes in functionality, or service degradation caused by third-party service outages, API changes, or policy changes outside of our control. Each third-party service operates under its own terms of service and acceptable use policy, which you must comply with when using MeetingSync AI.
We will make reasonable efforts to mitigate the impact of third-party service disruptions, including failover to alternative providers where available.
10. Disclaimer of Warranties
MEETINGSYNC AI IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY. WE EXPRESSLY DISCLAIM ALL WARRANTIES, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT: (A) THE SERVICE WILL BE UNINTERRUPTED OR ERROR-FREE; (B) TRANSLATIONS WILL BE ACCURATE OR COMPLETE; (C) THE SERVICE WILL MEET YOUR SPECIFIC REQUIREMENTS; OR (D) ANY DEFECTS WILL BE CORRECTED.
Translation accuracy depends on audio quality, speaker clarity, use of technical terminology, and the capabilities of our third-party translation providers. You should not rely on machine-translated content for medical, legal, safety-critical, or other high-stakes decisions without human verification.
11. Limitations of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, C2HL SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF MEETINGSYNC AI. OUR TOTAL AGGREGATE LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.
Some jurisdictions do not allow exclusion of certain warranties or limitation of liability. In such jurisdictions, the above limitations apply to the greatest extent permitted by applicable law.
12. Indemnification
You agree to indemnify, defend, and hold harmless C2HL, its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorneys' fees) arising out of or related to:
- Your use or misuse of MeetingSync AI
- Your violation of these Terms
- Your failure to obtain required participant consent for audio processing
- Your violation of any applicable law or regulation
- Any content you transmit through the service
13. Modifications to Service
We reserve the right to modify, suspend, or discontinue the service (in whole or in part) at any time with reasonable notice. We will endeavor to provide at least 30 days' notice for significant changes that materially affect your use of the service.
We are not liable to you or any third party for any modification, suspension, or discontinuance of the service.
14. Termination
We may suspend or terminate your access to MeetingSync AI if you violate these Terms, engage in fraudulent activity, or for any other reason at our sole discretion with reasonable notice (except in cases of serious violation where immediate termination may be warranted).
You may terminate your use of MeetingSync AI at any time by uninstalling the app from Zoom and deleting your account. Upon termination, your right to use the service ceases immediately. Data deletion upon termination follows the schedule described in our Privacy Policy.
16. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the Republic of Korea, without regard to its conflict of law provisions.
Any legal action or proceeding arising under these Terms that is not subject to the arbitration clause below shall be brought exclusively in the courts located in Seoul, Republic of Korea. You consent to the personal jurisdiction of such courts.
17. Dispute Resolution
Before initiating any formal legal proceedings, you agree to first attempt to resolve any dispute with us through good faith negotiation by contacting legal@meetingsync.ai. We will make reasonable efforts to resolve disputes amicably.
If the dispute is not resolved within 30 days of the initial contact, either party may pursue binding arbitration administered under the rules of the Korean Commercial Arbitration Board (KCAB) in Seoul, Republic of Korea. The arbitration shall be conducted in the Korean language, and the arbitral award shall be final and binding.
Notwithstanding the foregoing, either party may seek urgent injunctive relief from a court of competent jurisdiction to prevent irreparable harm pending arbitration.
18. Force Majeure
Neither party shall be liable to the other for any delay or failure to perform obligations under these Terms due to circumstances beyond their reasonable control, including but not limited to:
- Natural disasters, earthquakes, floods, fires, or other acts of God
- Pandemics, epidemics, or public health emergencies
- Government actions, regulations, sanctions, or orders
- Internet infrastructure failures, backbone outages, or widespread network disruptions
- Cloud service provider outages (Microsoft Azure, Google Cloud, etc.) beyond our control
- Third-party service disruptions (Zoom platform outages, translation API failures)
- Cyberattacks, distributed denial-of-service attacks, or other malicious acts by third parties
The affected party shall promptly notify the other of the force majeure event and resume performance as soon as practicable. If a force majeure event continues for more than 30 days, either party may terminate the affected service arrangement with written notice.
19. Severability
If any provision of these Terms is found by a court or arbitrator of competent jurisdiction to be invalid, illegal, or unenforceable, that provision shall be modified to the minimum extent necessary to make it valid and enforceable, or severed from these Terms if modification is not possible.
The remaining provisions of these Terms shall continue in full force and effect. The parties agree that a court may reform any provision to give the maximum effect possible to the parties' original intent.
20. Entire Agreement
These Terms of Service, together with the Privacy Policy, constitute the entire agreement between you and C2HL regarding your use of MeetingSync AI. They supersede all prior agreements, understandings, negotiations, and representations — whether oral or written — between the parties relating to the subject matter herein.
In the event of any conflict between these Terms and the Privacy Policy, these Terms shall prevail except with respect to privacy and data protection matters, where the Privacy Policy shall prevail.
21. Changes to These Terms
We may update these Terms from time to time to reflect changes in our practices, legal requirements, or service offerings. When we make material changes, we will notify you through the MeetingSync AI application and update the “Last updated” date at the top of these Terms.
Your continued use of the service after such changes constitutes acceptance of the updated Terms. If you do not agree with the changes, you should stop using the service before the changes take effect.
