This page explains how the Zoom AI Assistant operates during meetings, what participants experience, and how captions, translation, summaries, and recaps are created.

Step 1

Add the Assistant to Your Zoom Meeting

  • Only the meeting host can add the Zoom AI Assistant
  • The host authorizes the app using Zoom's OAuth permission flow
  • The assistant cannot join meetings without explicit host approval

The Assistant Joins the Meeting

  • The assistant joins as a visible participant
  • Its name clearly identifies it as an AI assistant
  • The assistant does not join meetings silently or invisibly
Step 3

Participant Awareness and Consent

  • Participants are informed that AI-generated captions, translation, and summaries are enabled
  • Captions and translations are optional to view
  • The host can remove the assistant at any time
Step 4

What Happens During the Meeting

  • Processes live meeting audio in real time
  • Generates live captions
  • Provides real-time translation into supported languages
Step 5

Live Captions and Translation

  • Captions and translations appear live during the meeting
  • Users choose whether to view captions or translated text
  • All outputs are generated automatically using AI
Step 6

After the Meeting Ends

  • The assistant generates an AI-powered summary and recap
  • The summary is based on the meeting transcript
  • Users may download the summary manually
Step 7

Data Handling and Retention

  • Meeting audio is never recorded or stored
  • Transcripts, translations, and summaries are processed temporarily
  • Temporary processing data is deleted within 24 hours or sooner
  • Summaries are not retained long-term by the Service
Step 8

User Control

  • Only the meeting host can enable or disable the assistant
  • The host may remove the assistant at any time
  • Uninstalling the app immediately revokes access to Zoom data

Security and Privacy by Design

  • Least-privilege OAuth permissions
  • Encrypted data in transit
  • No human review of meeting content
